Job Summary

Los Angeles Maritime Institute, now surpassing 30 years, is focused on delivering extraordinary and transformational programs for youth.  Our primary focus is on middle school students while also serving upper elementary, high school and college students.   For our entire history we have been dependent on volunteers to build, maintain and crew our vessels while delivering our experiential education programs.  In recent years we have expanded the program to include high school and college interns as well as volunteers focused on helping with office tasks and with a workshop known as Building G.  Building G introduces new opportunities for volunteers to not only enhance and restore Building G but also as a base for complex maintenance activities for our vessels Irving Johnson, Exy Johnson, American Pride and the restoration of the Swift of Ipswich.

The Volunteer Coordinator is responsible for developing, implementing, and maintaining an exemplary and vibrant volunteer program. The successful candidate will focus on recruiting volunteers, properly orienting them to LAMI and ensuring their frequent and active volunteering.  The candidate will collaborate with the marketing department to help make certain that the optimal outreach is executed to obtain as many qualified volunteers as possible.  The candidate will also be responsible for developing and executing programs that obtain the highest possible retention.  Currently we operate monthly orientations but the Volunteer Coordinator is free to enhance and modify the program to include weeknights, different weekends and online as required to achieve program success.

The Volunteer Coordinator is responsible, in collaboration with others (Captains, Education Director, Building G Supervisor), to ensure that all programs are staffed with qualified and trained individuals.  This element requires the ability to influence and motivate others, as well as excellent verbal and written communication skills. The Volunteer Coordinator is expected to leverage social media tools and email.  The position also requires setting up, arranging for delivery, tracking, and rewarding the progress of all crew training programs.  The Volunteer Coordinator is not required to teach the material but is responsible for increasing the competency and qualifications of the volunteers.

The ideal candidate has a proven track record in successfully working with both students and adults, professional experience as an effective and dynamic presenter and mentor, and possesses a portfolio of creative programming. S/he should also be passionate about the benefits of non-profit, intergenerational activities and possess a “can-do” attitude that helps further program development and foster collaboration and a healthy team culture.

Responsibilities

Engage, train, motivate, and inspire prospective volunteers to become active, with a key priority being aligning the volunteer’s interests with LAMI’s needs.
Ensure that all program sails, including voyages, and projects are fully staffed with qualified and competent volunteers.  Collaborate with our vessel’s captains for crew staffing and crew scheduling.
Coordinate weekly maintenance days (currently known as “Saturday Muster”) to provide operational and project leaders with volunteer manpower.
Contribute to weekly maintenance meetings to identify and plan vessel and infrastructure maintenance activities.
Coordinate and manage high school and college internship programs, which includes promoting and recruiting for the programs, interviewing candidates, and providing ongoing guidance to on-site interns.
Facilitate group orientations for prospective adult and youth volunteers as often as required to meet operational needs.  These may be during weekends, weeknights or during the day, whichever maximizes meeting the needs.
Secure and manage program partnerships with local high schools, colleges and universities to engage students in internships, as well as ongoing and one-time high school and college volunteer opportunities.
Communicate with past volunteers and alumni of the internship program to encourage further LAMI engagement.
Collect, track, and maintain participation data and related client interactions using LAMI’s databases; this involves routine data entry.
Prepare timely reports and metrics that allow the organization to focus on improving all elements of volunteerism while statistically analyzing trends and performance for both internal and external consumption.
Work with the Executive Director to evaluate successes and challenges for all volunteer and intern programs.
Work with Director of Sales and Marketing to update and implement outreach tools that maximize intake and retention of volunteers.
Maintain and update website and social media tools that ensure volunteer corps has the most up-to-date and relevant information for all programs consuming volunteer and intern resources.
Work with the Executive Director to establish a budget for volunteer and intern activities and track performance to that budget throughout the year.
Collaborate with the Director of Sales and Marketing to identify volunteer markets, develop marketing strategies, and prepare materials.
Provide program details, goals, narratives, and outcome data information for grant reporting.
Other duties as assigned by the Executive Director.

Qualifications

High School graduate, with bachelors degree preferred: Nonprofit Mgmt., Education, or related
3-6 years of professional work experience
2+ years of professional experience managing volunteer programs
Experience as a volunteer (desirable but not required)
Demonstrated supervisory and leadership ability
Strong presentation skills
Experienced and comfortable facilitating groups
Organized, detail-oriented and strongly motivated to follow through
Ability to work collaboratively on team projects
Ability to manage multiple priorities using planning and problem-solving skills
Ability to relate well and effectively with diverse populations
Excellent verbal and written communication skills
Ability to lift 15-20 lbs.
Bilingual (Spanish), desirable but not required
Available to work Saturdays, and occasionally evenings and entire weekends
Familiarity with the use of database/information management systems
Proficiency with MS Office/Google Suite and Slack
Compensation, Location & Benefits

Regular, full-time role based in our San Pedro, LA Waterfront Office.
8 am – 5 pm hours with an hour for lunch, totaling 40 hours per week.
Flexibility in hours will be required for events, including weekends and evenings.
