Company Description

Christian Outreach in Action (COA) is a nonprofit organization dedicated to providing shelter, food, clothing, and spiritual guidance for low-income and homeless individuals and families, including women and children. COA has served Long Beach and surrounding communities since 1981 from a historic church property on 3rd Street at Linden Avenue in downtown Long Beach, CA.


Role Description

The Office Administrator is responsible for managing the day-to-day operations of the office, maintaining office equipment, providing administrative assistance, and providing exceptional customer service to clients and stakeholders. This is a full-time on-site role located in Long Beach, CA.



•      Provide administrative and clerical support to the office staff and management team

•      Perform general office tasks such as answering phone calls, taking messages, and directing calls to the appropriate person. Perform pleasantly and professionally.

•      Assist with scheduling appointments and maintaining calendars

•      Handle incoming and outgoing mail, including sorting, distributing, signing, calling for pick-up, confirming delivery, and preparing packages for shipment

•      Maintain office supplies inventory and place orders when necessary

•      Assist with file organization and document management. Manage filing systems, record information as needed, maintain office equipment as needed, take memos, maintain files, make copies, etc.). Maintain, create, and enter information into databases.

•      Update cooking calendars and organize schedules.

•      Coordinate schedules, duties, files, and timesheets of temporary workers.

•      Conduct data entry and maintain accurate records

•      Assist with event planning and coordination of luncheons and special projects.

•      Schedule meetings and facilitate as necessary

•      Perform light bookkeeping by handling and keeping track of petty cash

•      Meet and greet guests and walk-ins with a smile and friendly disposition, answering questions or directing them to the proper department or individual

•      Perform other tasks as needed to support the Executive Director.




Administrative Assistance and Office Administration skills
Proficiency in Microsoft Office Suite and other office equipment software
Excellent written and oral communication skills
Ability to work independently and with a team
Strong customer service skills to interact effectively with clients and stakeholders
Experience in nonprofit organizations is a plus
Associate’s or Bachelor’s degree
Bilingual in Spanish required
