Executive Assistant (The LGBTQ Center Long Beach)

Exempt/ Full-Time Salary: $45,000

DESCRIPTION
The Executive Assist works directly with the Executive Director to ensure smooth day to day
operations of the Executive Department. This position serves as a primary point of contact for
external constituencies on matters pertaining to the Executive Director and also serves as a
liaison to the Board of Directors and management teams.
Primary responsibilities include scheduling, screening correspondence, general administrative and
development support, meeting preparation, record keeping, and meeting minutes notation. The
Executive Assistant must be able to work independently, under pressure, and with absolute
confidentiality and discretion. Some evenings and weekends are required.

EXECUTIVE SUPPORT
• Support Executive Director with a number of administrative tasks including phone and visitor
screening, calendar management, appointment scheduling, and arranging travel
• Support Executive Director in ensuring schedule is followed and respected, including managing
correspondence requests between the Executive Director and external parties
• Draft internal and external correspondence, as requested by Executive Director
• Work closely with Executive Director to communicate upcoming commitments and responsibilities,
follow up appropriately and keep Executive Director updated on emerging issues

BOARD/SENIOR MANAGEMENT SUPPORT
• Assist in preparation of board meeting materials and reports
• Provide support to Board of Directors, as requested
• Assistance with Board and donor meeting planning
• Coordinate Board travel arrangements, as requested by Executive Director
• Maintain confidentiality in relationships with all Board members
• Participate as an adjunct member of the Management Team including assisting in scheduling and
attending all meetings
• Schedule, attend, and document all staff, board, and committee meetings
• Assist in coordinating agenda of senior management, committee, and staff meetings

ADMINISTRATIVE SUPPORT
• Manage and maintain agency files according to relevant document retention policies
• Respond to public requests for information regarding agency

DEVELOPMENT SUPPORT
• Conduct donor and grant research (individual, foundation, corporate, government)
• Assist in drafting and submitting foundation Letters of Intent, proposals, and reports
• Track, enter, and maintain relevant donor information in donor database
• Manage, track, and send donor related correspondence, including gift acknowledgements
• Assist preparation of reports on development activities
• Assist in planning and executing all annual and special events
• Serve as agency lead in developing and monitoring annual grants and corporate sponsorships
calendar

• Receives, processes, and deposits all incoming payments

QUALIFICATIONS

• Demonstrated ability to handle conflicting needs and execute independent decision-making

• Ability to handle agency information and correspondence with confidentiality and discretion
• Ability to manage multiple projects simultaneously
• Strong passion for, and familiarity with, intersectional LGBTQ communities and associated
social justice and direct service needs

• Experience working with people of diverse genders, sexualities, races, abilities, and
socioeconomic backgrounds
• Strong familiarity with the Microsoft Office Suite
• Social media marketing background a plus
• Salesforce experience a plus
• Bilingual (Spanish/Khmer) a plus

REQUIREMENTS
• Minimum BA or relevant work experience
• At least 3 years prior experience in an administrative/office setting, with non- profit
experience strongly preferred
• Evening and weekend availability
• Exceptional written and verbal communication
• Ability to communicate and collaborate effectively and sensitively with clients, donors, and
Board members
