Administrative Assistant (Comprehensive Child Development Services)

ADMINISTRATIVE ASSISTANT JOB DESCRIPTION

 

Title Administrative Assistant Classification: Non-exempt
Department Enrollment Time Commitment: 20 Hours Per Week
Reports to Contracts and Compliance Manager Compensation: $16.00 Per Hour

 

JOB SUMMARY:

Under the direct supervision of the Contracts and Compliance Manager, the Administrative Assistant is responsible for providing support to the Enrollment Department.  This position will review and audit enrollment files, manage the child care waiting list, assist with recruitment efforts, and analyze department policies and procedures to ensure compliance.

 

Responsibilities:

File Review and Audit:

  • Conduct periodic reviews and audits to ensure accuracy of all center-based and family child care enrollment files.
  • Analyze error rates, providing feedback for future department-wide training.

Child Care Waiting List:

  • Update and maintain the child care waiting list, following up with families based on set timelines.

Policies and Procedures:

  • Review and analyze existing policies and procedures, making recommendations to ensure compliance with approved systems.

Marketing:

  • Develop recruitment and outreach materials to help facilitate the enrollment process.
  • Assist with outreach activities aimed at maximizing enrollment.
  • Create and distribute quarterly family newsletter.

Performs other duties as necessary.

 

Requirements:

  • Associate’s Degree.
  • 2 years of experience.
  • Proficient in Microsoft Office suite (Word, Excel, Power Point, Publisher, and Photoshop).
  • Excellent writing skills. Detail oriented.
  • Ability to multi-task, work with minimal supervision, and meet set deadlines.
  • Ability to solve problems effectively.
  • Ability to maintain confidentiality and discretion.
  • High degree of professionalism and accountability.
  • Exceptional customer services skills.
  • Excellent attendance and punctuality.

 

Physical Requirements:

Must possess mobility to work in a standard office setting and to use standard office equipment including a computer, stamina to maintain attention to detail despite interruptions, strength to lift and carry files weighing up to 10 pounds; vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.
