TITLE:          Director of Events, Marketing & Communications

BOYS & GIRLS CLUBS MISSION AND OVERVIEW:

The Boys & Girls Clubs of Long Beach mission is: To enable all young people, especially those who need us most, to realize their full potential as caring, responsible and productive citizens.  The Clubs operate programs at 11 distinct facilities in the Greater Long Beach area serving over 4,000 youth annually.

POSITION OVERVIEW:

This is a Full Time Exempt position that requires both office and out of office work.  The position may have to work some hours over weekends, depending upon work projects.  Ideal candidate should have fund development experience managing projects, excellent writing skills, knowledge of fund development software programs.  The position has growth potential for eventual Director of Development position.

PRIMARY FUNCTION:

Under the leadership of the Director of Development, the position (1) leads the organization’s communications and marketing/sponsorship efforts to build public awareness of Club services, programs and activities, as well as (2) maintaining donor database and donor communications, and (3) plans and implements special events with volunteers to generate funding for the Clubs’ general operations, core programs or other areas. All job responsibilities are carried out within the framework of the policies and procedures of the organization with a positive demeanor.

 

KEY ROLES: (Essential Job Responsibilities)

Fundraising/Special Events:

Responsible for the planning and implementation of special events related to fundraising or “friend-raising” for the organization to achieve income as required.  Success is also determined by the effective use of volunteer time and talents.

  • Oversee all aspects of the planning and execution of the Clubs’ annual major events including recruitment of volunteers (Youth of the Year, Gala, Golf Tournament, Corporate Luncheon, etc.) to achieve budgeted revenue.
  • Garner corporate, individual and local business sponsorships and donations, procurement of in-kind goods and services.
  • Monitor proper record keeping and reporting for special events including cost analysis, expenditure reports, and volunteer hours.
  • Review and report on fundraising opportunities and recruit new partners for special events.
  • Work with the development team to plan and implement donor cultivation, moves management strategies, and recognition events as well as other events.

Marketing and Communications:

Develops and implements strategies to promote the Boys & Girls Clubs of Long Beach mission to both the internal constituencies of the Club and the community at large.  Overall responsibility is to adapt or create messages and vehicles for promoting upcoming events or programs to the public and members, as well as reporting on past events and programs via newsletters, PSA’s, fliers, social media, e-blasts, etc.

  • Works with the Clubs’ leadership and serves as key staff liaison to the Marketing Working Group of the board in all public relations and marketing plans.
  • Designs and manages production of all major publications including: newsletters, brochures, info guides, event invitations, sponsorship proposals, banners, and signs.
  • Serves as the primary media contact for all media inquiries and written communications to include but not limited to: news releases, media kits, fact sheets, and pitch letters.
  • Designs collateral materials for recruitment and fundraising purposes.
  • Designs and manages content for website, while keeping it current.
  • Develops materials to support annual campaign and events.
  • Maintains strong working relationships with area media outlets.
  • Performs upkeep of all online presences (i.e., website, Facebook, Twitter, online auction).
  • Designs and distributes quarterly newsletter.
  • Knowledge and ability to work in Photoshop, Facebook, Twitter.

Database Management and Donor Communications:

  • Maintain donor database appropriate to organization needs including inputting and updating data on donors and prospects in the DonorPerfect system.
  • Manage online giving communications, prepare electronic and printed solicitation and donor communications vehicles, and prepare all appropriate receipt and thank you correspondence to ensure donor stewardship.
  • Prepare regular and periodic data analysis reports to support fund development activities with team members, CEO, board and others, as requested.
  • Work with the development team to plan and implement donor cultivation, moves management strategies, and recognition events as well as other events.
  • Thank donors in appropriate and timely manner.
  • Reconcile income with accounting as needed.

Administrative:

  • Prepare reports for Director of Development, Executive Director and Board upon request.
  • Participate in staff meetings, trainings, and other required events. Other duties as assigned.

Additional Responsibilities:

  1. Participate in special events or activities as required.
  2. Establish and maintain a friendly, cooperative relationship with other staff, public and private agencies, and other groups in the community.
  3. Any other duties the supervisor might deem necessary in the best interests of the organization.

 

Relationships:

Internal:  Maintain contact with supervisor to receive/provide information, discuss issues, explain guidelines, or instructions, and to instruct and/or advise and counsel about program operations.

External:  Maintain contact with external community groups and others involved in special events.  Create positive image of organization in the community.

 

SKILLS/KNOWLEDGE REQUIRED:

  • Bachelor’s degree or equivalent experience on a year-for-year basis.
  • Experience Demonstrated organizational, staff, and project management abilities.
  • Must communicate clearly, have excellent writing skills and knowledgeable in English.
  • Ability to demonstrate a professional manner in all interactions.
  • Know how to define and work toward goals.
  • Be able to facilitate a diverse group of youths or adults effectively.
  • Ability to organize time and focus on completing assigned tasks with minimal supervision.
  • Valid state driver’s license and working vehicle to deliver/pick up items.
  • Proof of insurance on personal vehicle.
  • Must have knowledge of usage of e-mail and Microsoft Office products.
  • Knowledge of Donor Perfect donor data base system
